How do I register?

Registering and selecting the shifts you want to work are very easy. The following sections will explain the process and the meaning of the fields you will see on the screen:

Registration: In the top right corner of the home page, under the two boxes in the "LOGIN" section, you will see the words "New Volunteer? Register here." Click on the word "New", and the registration screen will be displayed. There are several spaces for specific data on the screen called fields. You will enter the information requested in each of these fields. Remember, this is a registration to volunteer as a concession worker for the Rotary-WEG project. It is not a loan application. Simple answers are best.
The following fields are obvious:
First Name, Last Name, Address, City, State, Zip Code, and Emergency Contact
Both Phone fields should be in the format ###-###-####, no parenthesis are required.

Now lets take a sip of water to be sure we are awake for the next set of data definitions.

Jacket Size is a Pull-Down. You have the following selections: Small Medium Large Extra Large. Just click on the field and the choices will appear. Click on the one you want to select. Some of you are saying that you may need a larger size. Don't worry, we have larger sizes available at check-in. Just select XL, and we will deal with it then.

Rotary District is another field. You have a pull-down for this one, as well. Your choices will be 6710, 6740, and Other. If you are in Kentucky Rotary or are sponsored by one of the Kentucky clubs, enter the applicable district. Basically 6710 covers Frankfort  West, and 6740 covers Versailles East. If you have a question, please ask your Rotary contact, or send me an email rotaryweg@gmail.com. I'll pin it down for you. If you are not associated with either of those districts, then select "Other." The next field will be defined by what you enter as your District.

Club Name. Once you select the district, Club Name will appear. There are two types of answers for this field. If you selected one of the Kentucky Districts, enter the simple name of your Rotary club, or the Rotary Club that is sponsoring you. This should be a simple name like Lexington, Louisville, Lexington-Sunrise, etc. Please don't enter any other words. I'll just have to try to filter them out to get the statistics we need for tracking the volunteers from various districts and clubs. If you selected "Other", then enter your Rotary District number followed by the simple name of your Rotary Club. If you have no club affiliation, or sponsorship, then leave it blank. If you are not a Rotarian, first of all, we need to talk to you about that, but you may have been recruited to serve at the Rotary WEG concessions by a Rotarian. It is important that you enter that Rotarian's District and Club Name.

Sponsoring Rotarian. If you were, in fact recruited by a Rotarian, and you are being counted in that way, enter that Rotarian's name.

We're almost there. And, this is the most crucial. You have to know how to get back into your record to make changes or select more shifts.

Email Address. Email is how we communicate with you, but more important, the entry you make in this field becomes you Login ID. If you have an email, enter it in this field. Enter it in the second email field as confirmation. That's pretty simple. It is a dual-purpose field.

Now, you say "I don't have an email address." This happens most often when couples have one email they use between them. Well, every volunteer must be entered as a single entity, but we still need an email to send messages to the volunteers. We have a work-around for this problem. You can create a fake email address, although it will only be used as your Login ID. We'll use another trick of the trade to cover emails for you. First of all you will use a fake email address formed like this: First Initial+Last Name+"rotary-weg.org". Here is an example - jdoe@rotary-weg.org. Once you determine the fake email you will use, then enter it in the email field. Remember it. This will be your Login ID. When it asks for your email you will enter this.

Auxiliary Email. If you had to use a fake email, then you need to enter your spouse's email or the email of some other person who can get the messages to you in a timely manner. Whenever we send emails, we will check to see if there is a "rotary-weg.org" ending on the normal email, and if that has been used, we will send the email to the Auxiliary Email address. See how easy that was?

Password: Your password is used to authenticate your entry into the system. You will be asked for your Email Address/ID and then your password. If you have passwords that you use for your bank accounts and other secure data, don't use them here. Remember, this is just a registration for a volunteer position, not a shuttle launch. Use a simple password, that is easy to remember. It must be 6 characters.

After you have entered all of the necessary data, check it twice, and then select REGISTER at the bottom of the screen. This will bring you back to the home page and tell you that your registration was successful. Pay Attention! If it had a problem, it will tell you and list the problem toward the top of the center potion of the page. If there was a problem, fix it. Once it tells you that your account had been created successfully, you can go on to selecting your shifts.

At the top right of the page you will see a selection for Scheduling. Select that. A calendar will appear. Click on the date you want, then click on the shift you want. Don't be afraid, you can change it if you make a mistake. If you selected a shift on the wrong day, just go in and select that day and then select "I do not want to be scheduled on this day." and that will remove your name from the shift. It's as simple as that. Once you have selected a shift, click on SAVE at the bottom of the page. That will save that shift. Select each day you want to schedule a shift, and then click on that shift. Be sure to save each time.

Once you have completed your registration and shift selection, select "Log Out" at the top right side of the page. This is important, especially if you want to register more volunteers. UNLESS YOU LOG OUT, THE PROGRAM THINKS YOU WANT TO MAKE CHANGES TO YOUR RECORD. Log Out first, and then register the next volunteer.
